Data Controller and Data Processor Roles

Where our platform is used for recruitment purposes:

  • The employer using AI-Intervue is the Data Controller.

  • AI-Intervue acts as a Data Processor, processing personal data on behalf of the employer.

For website visitors and employer account holders, AI-Intervue may act as a Data Controller.

If you are a candidate, you may also contact the employer who invited you to interview regarding your personal data.

Personal Data We Process

We process only data necessary to provide our services.

This may include:

General Platform Data

  • Name

  • Email address

  • Contact details

  • Account login credentials

  • IP address and device information

  • Usage and session metadata

Candidate Recruitment Data

Where the platform is used for hiring purposes, we may process:

  • CV or resume information

  • Employment history and qualifications

  • Application responses

  • Video recordings

  • Audio recordings

  • Interview transcripts

  • Structured interview responses

  • AI-generated summaries and scoring outputs

  • Technical session data (timestamps, browser type, connection data)

As part of our services, interviews are conducted using video and audio recording. Prior to the start of any interview, candidates are required to provide explicit consent to such recording. If consent is not provided, the interview will not proceed.

We do not intentionally collect special category data unless voluntarily disclosed during the interview process.

Lawful Basis for Processing

We process personal data under the following lawful bases:

  • Consent: for video and audio recording, and for AI-based analysis of interview responses

  • Legitimate interests: for enabling employers to evaluate candidates in a structured and efficient manner

  • Performance of a contract: where applicable for providing our services to employers

Candidates will be asked to provide explicit consent prior to any recording or AI-based processing. Participation in an interview is voluntary, and candidates may decline to proceed.

AI and Large Language Model Processing

Our platform uses AI-assisted technologies, including large language models (LLMs) and related machine learning systems, to:

  • Structure interview questions

  • Generate interview transcripts

  • Provide decision-support scoring

  • Assist employers in reviewing applications

Important:

  • AI outputs are decision-support only.

  • Final hiring decisions are made by the employer.

  • No employment decision is made solely through automated processing.

  • Candidates may request human review of their application.

Where AI services are provided by third-party technology providers, such providers process data strictly under contractual data processing agreements and in accordance with UK and GDPR requirements.

Candidates are informed of AI processing and must provide explicit consent prior to participation.

Where third-party AI providers are used, such providers act as data processors under contractual agreements and are not permitted to use personal data for their own purposes, including model training, except where strictly necessary to deliver the service.

How We Use Personal Data

We use personal data to:

  • Facilitate structured video interviews

  • Enable employers to review candidates

  • Generate AI-assisted insights

  • Maintain platform security

  • Prevent fraud or misuse

  • Improve platform functionality

  • Comply with legal obligations

We do not sell personal data or use it for advertising purposes.

To operate our platform, we may engage third-party service providers, including:

These providers act as Data Processors under contractual agreements and are required to:

  • Process data only on our instructions

For candidate recruitment data:

  • By default, retained for no longer than 90 days after interview completion, unless a longer period is required by the employer or applicable law

Employers, as Data Controllers, may define shorter or longer retention periods; however, all retention must remain proportionate and limited to what is necessary.

Data is securely deleted or anonymised once no longer required.

We implement appropriate technical and organisational measures, including:

  • Encryption in transit and at rest

  • Role-based access controls

  • Secure cloud infrastructure

  • Audit logging and monitoring

  • Restricted internal access

While we apply robust safeguards, no system can guarantee absolute security.
